Associate Office Manager Location Hybrid remote in White Plains, NY :

We are seeking an Associate Office Manager to join our team of dedicated professionals.

Location: This position is based out of White Plains (NY) on a full-time basis, and will entail consistent travel to our secondary location in Manhattan (1+ days a week).

Overview of Role: The Associate Office Manager is responsible for overseeing the day-to-day operations of the local office sites.

Responsibilities:

  • Work with admin team to maintain updated client list
  • Receive incoming mail, packages, and checks, and process accordingly to the service plan for each client
  • Process and mail checks
  • Make e-deposits
  • Perform coverage of reception desk, as needed
  • Respond to requests to prepare outgoing mail and packages (FedEx, certified mail, messengers, etc.)
  • Maintain contact with building management to remain abreast of facility issues
  • Supervise fire drills
  • Order and maintain all kitchen and office supplies
  • Liaise with vendors and management to address operational issues
  • Clean and organize desks for departing and new employees
  • Determine employee seating arrangements and floor plans, and coordinate remodels and office moves
  • Off-site storage inventory
  • Coordinate, in conjunction with the Morale Committee, various office events and parties
  • Other projects and duties, as assigned

A successful candidate will possess the following qualifications:

  • 5+ years of office management experience, preferably in the financial services field or comparable
  • High School Diploma or GED equivalent is required
  • Solid interpersonal skills and other key soft skills (i.e., communication, time management, emotional intelligence, adaptability, active listening, critical-thinking, etc.) to create and maintain a trusting relationship with staff
  • Expert written and verbal communication skills
  • Proactive with strong attention to detail
  • High standard of neatness and organization
  • Ability to manage and train staff with clear direction
  • Ability to problem solve and provide solutions in a variety of business situations
  • Ability to juggle multiple projects and deadlines with strong follow-through
  • Maintain a level-head when interacting with high-profile clients
  • Intermediate knowledge of Microsoft Word, Excel, Outlook, and PowerPoint

This is an exempt position. Employee compensation is determined by a variety of factors including, but not limited to, employee education/training/credentials, employee work experience, work location (including if the employee will be hybrid or fully in-office), the scope and responsibilities of the role, internal peer equity, and market considerations. The expected base compensation hiring range for this position is $60,000 to $75,000 per year.
